Vondo Limited ("Vondo", "we", "us", or "our") operates the Site Proof mobile application and related services. This privacy policy explains how we collect, use, store, and protect your information when you use Site Proof.

1. Information we collect

When you use Site Proof, we may collect the following information:

  • Account information — your name, email address, and business details when you create an account.
  • Photos and media — photos and voice recordings you capture through the app to create site records.
  • Location data — GPS coordinates attached to photos and records for site documentation purposes.
  • Timestamps — the date and time of each capture and record.
  • Device information — device type, operating system version, and app version for troubleshooting and compatibility.
  • Usage data — how you interact with the app, to help us improve the service.

2. How we use your information

We use your information to:

  • Create and store site records, including health and safety documentation, quality assurance records, and progress reports.
  • Sync your records across devices so you can access them on site and in the office.
  • Generate PDF reports for sharing with head contractors and other parties at your direction.
  • Provide customer support and respond to your enquiries.
  • Improve the app and develop new features.

3. Data storage and security

Your data is stored securely on cloud servers hosted by Amazon Web Services (AWS). We use industry-standard security measures, including:

  • Encryption of data in transit (TLS/SSL) and at rest.
  • Secure authentication via Amazon Cognito.
  • Access controls to ensure only authorised personnel can access system infrastructure.

4. Sharing your information

We do not sell your personal information. We may share your information in the following circumstances:

  • At your direction — when you share PDF reports with head contractors or other parties through the app.
  • Service providers — with trusted third-party providers who help us operate the service (such as cloud hosting and authentication), bound by confidentiality obligations.
  • Legal requirements — if required by law, regulation, or legal process.

5. Your rights

Under New Zealand's Privacy Act 2020, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information.

Site Proof is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it.

We may update this privacy policy from time to time. We will notify you of material changes through the app or by email. Your continued use of Site Proof after changes are posted constitutes acceptance of the updated policy.
